Integrata® AI

Integrata® AI is an AI-assisted customer service channel and part of the Integrata® serviceplatform. 

Integrata® AI AI supports HR in daily communication by using organization- and system-specific documentation to generate response suggestions.

The solution has built-in data protection: the data lifecycle is managed entirely within the EU. Information sent to the AI is not stored in AI services or used as training material for language models. On the solution, all data is retained in compliance with data protection regulations.

Integrata is responsible for maintaining and developing the solution. Development work may also involve selected partners.

Integrata® AI

General

The goal of Integrata® AI is to speed up the process of finding and responding to information and to improve the quality of responses by providing more comprehensive and value-added answers. At its best, the AI can offer response suggestions that already include answers to potential follow-up questions.

Additionally, the solution promotes a culture of AI adoption and helps users get started on their AI journey.

Integrata® AI automatically generates a response suggestion for the message recipient if the message category used is designated for AI use, and the AI solution finds documentation relevant to the question.

It can only read messages that are designated as shareable with it based on the message category. Interaction with Integrata® AI is not used to improve language models, but rejected suggestions may be used to improve documentation or the model in other ways. 

Responses generated by Integrata® AI are intended for use by specialists only. The specialist is always responsible for the final response—regardless of whether it is fully or partly generated by Integrata® AI, or whether the specialist works for the customer or for Integrata.

Integrata® AI should not be used in situations where incorrect or misleading content could cause significant harm to the company or an employee. This includes, for example, topics related to insurance coverage or employee well-being. 

Integrata® AI generates its responses using customer-specific documentation, general documentation, or both.
General documentation may include, for example, system guides or legal references. Customer-specific documentation may include various HR and payroll guidelines, depending on the situation

Solution does not use publicly available content unless it has been explicitly provided for that purpose. It also does not have access to the internet when generating responses.

Integrata® AI has been developed to minimize hallucinations and incorrect responses. However, users must verify the accuracy of any suggested response—either in full or in part—using their own knowledge, sources provided by the AI, or other relevant references before using it.

The quality of Integrata® AI depends not only on the technical performance of the solution itself but also significantly on the quality and scope of the documentation provided. The AI aims to refrain from responding if it cannot find an answer in the given documentation.

Integrata® AI always provides links to the sources it uses. This helps the specialist verify the accuracy of the response and locate the original source of the information.

The AI solution generates response suggestions using the currently assigned language model. The quality of the responses depends on the performance of this model. 

Integrata® AI has been implemented in Integrata’s Microsoft Azure environment.    

Integrata® AI uses documentation that has been specifically provided for its use, which does not contain—and must not contain—any personal data. The only exception is contact information, which is intentionally included in the documentation and used purposefully for generating response suggestions.

User identification for Integrata® AI is managed through the Integrata® Serviceplatform, and no personally identifiable information is transmitted to the AI service. However, non-identifiable user data, such as personnel group or collective agreement, may be used to generate more accurate responses.

Personal data may be processed by the AI solution if such information is included in the content of the messages.

No information included in prompts or questions is permanently stored by Integrata® AI or in the documentation it uses. In accordance with Microsoft’s terms and conditions, this data is not used to train AI models. Integrata® AI does not learn from the questions or answers provided to it.

The question submitted to Integrata® AI, the documentation used to generate the response, and the response suggestion itself always remain within the EU/EEA. All data is transmitted within the service over a secure connection. 

Technical Description

The user of Integrata® AI agrees to use Integrata® AI only by themselves and with their personal credentials, strictly for the purposes defined in this document.

The user of Integrata® AI is solely responsible for how the AI’s responses are used and for verifying the accuracy of the final answer provided to the questioner. Integrata® AI does not replace specialist review or the use of other sources.

Integrata owns all rights to the Integrata® AI solution and the processes required for its use.

Integrata is responsible for ensuring that it has the rights to use the general documentation used by Integrata® AI for this purpose.

The user is responsible for ensuring they have the rights to use the customer-specific documentation for this particular use case.

Integrata® AI is currently in the MVP stage (Minimum Viable Product). The service is constantly in development, and brief service interruptions may occur, including outside of scheduled maintenance periods. 

Use of the solution for high-risk use cases as defined by the EU Data Act is prohibited. 

If it is determined that Integrata® AI is being used in violation of these terms or applicable laws, Integrata reserves the right to immediately terminate access to the service. 

Integrata may modify these terms as required by Integrata® AI, legal regulations, or other needs.
