Notifications

The various functions of the Integrata® application send automatic notifications via the mobile app or email. For example, payment reviewers receive information about new payment installments to be processed, and reminder messages about absence approvals in the approval cycle are sent to supervisors.

The user can choose the notification method themselves. Notifications can be received as push notifications throug mobile app or via email.

  • Select Notification Settings under your profile in the browser application. In the browser, you can also choose settings related to the Messages function.
  • In the mobile application, select the app’s settings menu

Messages and Payment based notifications can be specifically modified, but other notifications are automated.

  • Note – If you choose to opt out of email notifications, you don’t receive them form any funtionalities.

Message Notification Settings

Choose when you want to receive notifications in the Messaging feature. Handler roles will have a broader list of options, while employees will have a more limited set of options.

  • New Message in your message thread – A new message is added to an existing thread where you have sent a message or where you are a handler.
  • Message thread is assigned to you – You are named as the handler of the conversation.
  • New message thread for your customer role – A new thread where you have visibility due to your role, or an existing thread where your role has been added.
  • New message thread for your username – A new thread where you are directly added as a user. Users with the same role may not necessarily see the conversation.
  • Message thread you are part of is reopened – Roles involved in the thread will be notified if an old conversation is reopened.
  • You are mentioned in a message thread – Your name is tagged in a message.
  • Your role is mentioned in a message thread – Your handler role is tagged in the message.

Payment notifications

Payment reviewers will receive a notification about a new payment to be reviewed as soon as it is created. If the Integrata® mobile app is enabled and notifications are allowed, a notification will also be sent to the phone. Through the browser application, it is also possible to change your notification settings if you don’t want to receive notifications both on your phone and via email.

If a user is using the role as a substitute, and does not need continuous payment notifications, the use can opt out of these form the notifications settings

  • Approvers will receive a notification about the payment once the reviewers have approved the payment.
  • If there are no reviewers, the notification of the new payment will be sent directly to the approvers.
  • The reviewer can also decide whether or not a notification will be sent to the approver when the payment is approved. This option is useful in a situation when multiple payments are being reviewed and approved within a short time frame.
  • As the payment date approaches, reminder messages will be sent to both reviewers and approvers.

An approval automatic message

After the final approval, an automatic notification can be set to be sent to, for example, the finance department’s email address. The message will include the following details:

  • Company Name
  • Payment Amount
  • Payment Date
  • Number of Payment Transactions

Salary slip notifications

When a new payslip is available for the user, an automatic notification is sent. Depending on the user’s notification settings, the notification will be delivered either as a push notification via the app or as an email.

The same message also includes a salary threshold alert if the app’s automation has detected the need for one.

Salary threshold alert

The salary threshold alert notified to the user takes into account the length of the pay period, taxable earnings, current period earnings, and the tax card’s income threshold. Based on this, it calculates how many similar periods it would take for the income threshold to be exceeded. If it appears that the threshold may be exceeded, a note is added to the new payslip notification.

  • Alerts are programmed to be send starting from august of each year.
  • In December, the alert is no longer sent because the tax year is already coming to an end.
  • In January, the salary threshold alert is not in use at all. 

Sickness leave and attachment notifications

New events to be handled will always trigger a push notification and an email to both the supervisor and the substitute. 

  • Supervisors and their substitutes will receive a reminder message for unapproved sickness absences or attachments if they have absences or attachments waiting for approval for over 7 days. After that, a reminder message will be sent again once a week.
  • The employee will receive a notification if the event is rejected.
  • The employee will also receive daily reminders starting from the third day if the absence is still awaiting approval and lacks the required attachment.
